How I Use Trello to Organize My Network Marketing Leads (And Finally Feel Like I’ve Got My Life Together)
Let’s be honest—if you’ve ever tried to keep track of your network marketing leads using scraps of paper, sticky notes, and that one notebook you swear was right here a minute ago… then you know the struggle is real.
I used to think I had a “system” (aka total chaos), until I found Trello—a tool that’s now my secret weapon for keeping track of leads, follow-ups, and honestly… my sanity.
If you’re ready to ditch the mess and get organized in a way that actually feels doable, here’s how I set up my lead tracking system in Trello (and how you can too!).
What Is Trello?
Trello is basically your new best friend if you’re the kind of person who thinks in sticky notes. It’s a visual organization tool that lets you create digital boards, add lists (columns), and create “cards” that you can drag and drop wherever you want.
It’s like taking that messy whiteboard or desk full of scribbles and putting it all in one clean, scrollable space—on your phone or computer. And the best part? It’s free.
How I Set Up My Trello Board for Leads
Here’s how I built my board to manage leads without losing my mind (or my pen).
1. Create a New Board
Go to Trello.com, click “Create Board,” and pick a name, something inspiring like “Leads” or “My Empire in Progress.”
I keep the background simple (light blue is my go-to) so it doesn’t get too “busy” on the eyes. Trust me, your brain will thank you.
2. Add Lists (Columns)
This is where you break your board into stages. I use the following lists:

Chicken List – This one’s for people I should reach out to but feel too chicken to message. You know the ones—super successful, already in business, or just a little intimidating. But they often have huge potential.

Contact List – Anyone new I come across (on socials, at the dog park, through a friend, etc.) starts here.

Contacted – Once I’ve messaged or spoken to someone, I drag them here. I often write how I reached out too (e.g., “Commented on their FB post” or “DM’d about freebie”).

Presentation – These folks have seen what I offer—maybe a video, Zoom, or voice note. This is where the real follow-up magic happens.

Client – Woohoo! They’ve purchased. I move them here so I can stay in touch, send a thank you, and maybe check in after a week.

Partner – When someone decides to join the business side of things, they land here.

Not Now / Dead Leads – Not as spooky as it sounds—just people who aren’t ready right now. I never delete these. People change.
Adding People as Cards (a.k.a. Don’t Forget Their Name Ever Again)
Each lead gets their own card. You click “Add Card,” type their name, and press Enter. Boom—organized.
Here’s how I make each card super useful:
Labels Are Life
Seriously, labels are my favorite feature. I use color-coded labels to track things like:

Their interest: Energy, Weight loss, Skincare

What they want: Customer, Partner, Just Curious

How warm they are: Cold, Warm, Hot

Who’s working with them (if I’m helping someone on my team)
💡 Tip: Keep your label names short and consistent. “Kind of warm but scared of Zoom” might not be your most filter-friendly category. 😉
Add Visuals
If I’m on my laptop, I just drag their Facebook profile picture into the card. It instantly becomes easier to remember who’s who.
Use Due Dates for Follow-Ups
If I say, “I’ll check in with you next week,” I set a due date so I actually do it.
You’ll get a reminder, and Trello gives you a calendar view if you turn that feature on (Power-Up).
Add Links
Paste their social media link into the card so you don’t have to go hunting later. Future you will thank you.
Add Notes
Use the description box to jot down anything helpful:

“Has two kids, likes yoga”

“Looking for extra income”

“Mentioned loving green smoothies”
Just be mindful of privacy rules if you’re dealing with leads in the EU.
Keeping It All Flowing
Trello becomes a living, breathing system when you use it daily. Just drag each card to the next column as your lead moves forward.
Start in “Contact List,” move to “Contacted,” then to “Presentation,” and hopefully—“Client” or “Partner.” If not, into “Not Now” they go, and we move on.
Search and Filter
Search by name or filter by labels. Want to follow up with all “Hot” leads? Filter, click, boom—there they are.
Calendar & Map Views (Optional)
Trello’s Pro plan gives you access to calendar and map views. If you’ve added dates or locations, these views can give you a nice visual overview. Not necessary—but fun if you’re a visual planner like me.
